Product master data is not just another database — it is the record that resolves disputes between systems. When Shopify shows one title and Google Shopping reads another from the feed, the master data is what determines which is correct and which needs to be updated.

The master data principles: what belongs and what does not

Include: product identity fields

Internal SKU, GTIN (EAN/UPC), MPN, brand name, supplier reference, HS customs code. These are the stable identifiers that never change once assigned. Any change is a data governance event that must be tracked.

Include: commercial content fields

All content needed to sell the product: title, descriptions (short, long), meta title, meta description, URL slug, images (URLs + alt text), attributes, price, compare-at price. These change and must be versioned.

Exclude: transactional data

Stock levels (changes continuously — ERP owns it), order references (OMS/ERP owns it), customer data (CRM/GDPR), cost price (ERP financial data), margin (calculated field). These do not belong in the product master record.

The most common master data failure: editing products directly in Shopify admin while also using a PIM. The two systems drift. The next PIM sync overwrites the Shopify edits, or vice versa.
